The service is quick and simple to set up, and takes away all the hassle of managing the personal data, including the requirement to delete it after 21 days, and following up on Covid positive cases, by acting as data controller.
Guest Visit is a tracking service that uses QR code technology to sign-in your visitors. Visitors to your church building scan your unique QR code on their smart phone or tablet, which will open a form on their device, they fill in the form and submit it, which then registers them onto a database.
This service does require a mobile phone signal or access to the internet.
The NHS will alert the church if a visitor has been registered as testing positive for Covid-19. Guest Visit can then be requested to supply the data required by NHS Test and Trace, of those who may have come into contact with that visitor at your church.
1. Scan the QR code
Visitors check-in by scanning the QR code or following the URL.
2: Sign in
Once the visitor has scanned the QR code or clicked on the URL, a sign-in form will open on their device. They will need to fill in their details, first name and surname, email address and phone number. Visitors data will be stored for a maximum of 21 days before being erased.
Visitors will receive an email confirming their sign-in. It will contain information on:
- how long their data will be kept for
- a link to click on to register their departure time

In order to reopen your church safely it is necessary to ensure you have a system in place to track your visitors in accordance with the government’s COVID-19 guidelines.
The Guest Visit solution is a reliable and effective way of tracking your visitors, it:
- takes away all the hassle of managing personal data
- is contactless
- manages the data for you, acting as the data controller
- will take the necessary steps if one of your visitors is registered as having Covid-19, including notifying the visitors who were in your church the same day as the Covid positive visitor.
- has a function to allow for up to 10 sub-venues at your church to have a sign in, for example a refectory or church hall.
You will need to print off the QR code so that you can display it clearly in your church. The service needs the internet to work, so you must have either WiFi or a 3G/4G at your church and buildings. Visitors will need to use a smart phone, tablet or a computer if they decide to sign-in using the URL instead of the QR code.
